Payment of Service


All bookings are subject to a non-refundable deposit fee of £100 of your choice of package at the time of booking, unless otherwise agreed by Snapbros in writing in advance. The remainder balance is due no later than 14 days before the event, unless stated otherwise on your paperwork or agreed in advance by Snapbros. By signing the booking contract you are partaking in a written contract and agree to pay the full amount of hire as stated on the contract. Any cancellations are subject to our cancellation policy (see below) and, circumstances dependant, may still require the full hire payment to be paid.  This is at the discretion of Snapbros.



Cancellation


If your need to cancel falls outside of your 14 days final balance due date, there is no additional cancellation charge to your non-refundable £100 booking security fee.  If you have already made full payment before or on your 14 days payment due date, we will make full refund of your payment by cheque, less your £100 non-refundable booking fee. Should you wish to rebook, and subject to availability, you are able to use your original received and cleared £100 deposit fee to do so. This meaning that there is no additional or new deposit required to rebook. Additionally, there is no cut off date to when you can rebook, should you wish to do so. We will do our best to accommodate your new date of choice, however, this cannot be guaranteed. To avoid disappointment, please have a selection of dates to check availability for. If for any reason, you have cancelled and we have needed to preorder any equipment, goods or extras tailored specifically to your event, which you have been made aware of beforehand and which cannot again be reused at another event or returned at full cost to the supplier, we reserve the right to charge you the full cost of these.   



Venue locations


It is your responsibility to ensure that all address details and any maps to the venue are correct, including a full postcode and contact telephone number of the event organiser and venue. Snapbros cannot be held responsible for any errors or delays resulting from incorrect, incomplete or missing addresses and contact details.



Access and venue parking


It is your responsibility to ensure that there is access for us to unload and reload at the venue as close as possible. This includes the parking of our vehicle during the unload/reloading period. In the instance that the only parking for access is on restricted parking you will be liable for any parking fines that may occur. You also need to provide parking spaces for our vehicle during the entire time we are onsite.  Any parking charges that may occur are the sole responsibility of the client/event organiser.



Events beyond our control


Snapbros cannot be held responsible for any circumstances that may prevent us from attending your event, these may include, but are not limited to, severe weather conditions, traffic delays, breakdown of our vehicles, sickness or equipment failure.  In the case that we cannot attend or fulfil your hire due to events beyond our control, we will contact you or the venue as soon as possible.  In these instances our liability will be limited to the refunding of all monies paid.



Set up of service


It is your responsibility to ensure that the venue has agreed for Snapbros to be in attendance at their venue for the entire agreed time. This also includes ensuring that there is access to enter the venue and sufficient space with a power socket in close proximity to where the services are to be set up (within 1.5m).  If there is insufficient space for Snapbros to set up you will still be charged the full cost of your hire package.  It is your responsibility to inform us of any circumstances that may result in setting up taking longer or being delayed.  These may include, but are not limited to, the need to setup on any other floors other than an already agreed floor and needing to travel up and down stairs, a long distance from unloading area to set-up area, etc.  If we are not aware of these and the set up takes longer than usual, your hire period may be used as part of the set up period.



Event period


Snapbros will arrive to set up anywhere from 60 to 90 minutes before the agreed time of the event, depending on what service has been hired. The hire period will commence from the agreed period of time as per the booking form and finish at the agreed time. In the event that Snapbros is not ready to commence at the agreed time due to our fault we will still give you the agreed hire period by extending the finishing time of the hire. In the event that the hire does not start at the agreed time as set up has been delayed due to either the venue not allowing access on time or your event over running, the hire will still end as per the agreed time on the booking form. In the event that we have set up in time but the hire does not start at the agreed time due to over running of previous activities by yourselves or the venue, the hire will still end as per the agreed time on your booking form.



Termination of hire


Snapbros will not tolerate any abuse or threatening behaviour to our staff. If this does occur Snapbros are within their right to terminate the hire. We are providing a service to yourselves and guests and therefore feel that our staff should be treated with the respect they deserve at all times. Snapbros are also within their right to terminate a hire if they feel that any equipment or property belonging to Snapbros is in danger of being damaged or has been damaged due to unruly behaviour from guests or venue persons. We also reserve the right to refuse guests to participate in the activities if we feel they are too unruly or too intoxicated. In any instances where we feel there is a need to terminate the hire we will always speak to the host first to try to resolve the matter before terminating. If we do have to terminate the hire due to reasons stated above, the full cost of hire is still payable and we will not issue any refunds for hire time that has been cut short.



Damages to the equipment


If for any reason our equipment is damaged during the hire period by one of your guests you will be responsible for the full cost of repair or replacement, including any additional fees such as postage etc. If any equipment is damaged and this affects the services, the hire will be terminated as per our termination section above.



Children


When using any of our services, all children under the age of 11 years old are to be supervised at all times by an adult or person over 16 years old deemed responsible for their care. We reserve the right to not allow children to use our services if they are not accompanied by or under the supervision of a responsible adult or person responsible for their care, or if we feel they are hampering the enjoyment of our services for other guests.



Use of photos by us


By booking Snapbros for your event you are agreeing to the possible use of any photographs taken throughout the interactive services of yourself and your guests, for any suitable means. This includes, but is not limited to, advertising and promotional material either in print or on the internet. By us attending your event we are of the understanding that full permission has been granted to do so by yourselves and your guests.
